Vulcan Mechanical Services is seeking a highly organized, dependable, and detail-oriented professional to join our team as a Service Dispatcher / Logistics Coordinator in our new, growing Montgomery office.
This role is the "heart of our internal operations" —it is a critical administrative and logistics position, not a simple call-taker job. You will be the central pivot point, coordinating the flow between our customers, our service technicians, and the internal operations team. We are looking for someone who desires longevity and excels at both communication and clerical precision.

Key Responsibilities (More than Dispatching)
This role requires a unique combination of administrative rigor, team support, and strategic scheduling.
Logistics and Technician Support
- Serve as the Technician’s first point of contact for all service-related issues, job details, and work history.
- Proactively plan and dispatch all service, quoted, and project jobs by 3:30 PM for the following day.
- Coordinate and oversee all part ordering for repairs.
- Monitor and update our GPS tracking system to ensure accurate records.
- Assist with creating Purchase Orders (POs) and managing Refrigerant Drum Numbers.
Administrative & Auditing Excellence
- Perform the 1st daily audit of all service work orders for clerical precision (checking labor, mileage, costs, scope, and notes).
- Maintain open work order tracking and ensure all tasks are seen through to completion.
- Handle customer calls and coordination (specifically covering the 1:00 PM – 5:00 PM time slot).
- Receive recommended repairs from technicians and efficiently create and send customer quotes within 48 hours.
Required Skills and Qualifications
- Experience: Proven background in an office setting (Administrative Assistant, Secretary, Office Manager, or Logistics Coordinator) with a focus on high-volume task management. Prior HVAC experience is a plus, but not required.
- The Mentality: Ability to serve as a supportive team player who can guide and manage field technicians effectively.
- Perfectionist Level Detail: Exceptional clerical skills; must be highly proficient in spelling, punctuation, and grammar for accurate work order auditing.
- Multitasking & Focus: Demonstrated ability to juggle multiple demands and consistently return to center to ensure daily tasks are completed and internal bottlenecks are avoided.
- Technology Proficiency: Strong computer skills, including Microsoft Excel proficiency, to manage our computerized dispatch system.
